No matter what kind of business you run you need a way to keep track of your employees. You can't pay your employees or keep track of their time off without some sort of attendance system in place. It's a must for payroll and you need to have something set up far before you hire any employees at all. There's a lot of different options for how you might want to track time and they all can help payroll processing.
Punch cards and paper forms are older forms for keeping track of time. Using paper can still be a great attendance system, but you do have to deal with a lot more to keep organized and it's easier for a punch card to get lost accidentally.
There's plenty of ways to use time clock software to take care of clocking in and out. For office jobs there are websites as well as software you can install on each computer that can collect the data with a touch of a button. This data can all be sent to one place, making it easier for you to process payroll. You don't need to run around and collect data, it's done for you.
Wall clock in interfaces are great for those kind of jobs where your employees will be working on the floor of a store or restaurant. They can clock in at one single spot before and after shifts. Swipe clocks are one option, in which you can give each employee an ID with a magnetic strip that can be swiped. One issue that can arise is a card getting damaged and the strip not reading. The ease of clocking in can also give way to employees clocking in for others when they aren't actually present for their shift.
Fingerprint time clocks are an option that eliminates others clocking in illegally. Because it records a persons fingerprint, no one else can clock in for anyone else. It also makes the process a whole lot quicker and has less issues over all. The only draw back is in price, but it more than makes up for it with it's benefits.
Once you set up an attendance system, the data you collect can be entered into accounting software. From here you can work out hourly pay, how much you owe each employee, and even direct deposit information. It's really important that you keep everything organized and on file and of course, back up all data just in case you should lose it.
